ADMINISTRATIVE ASSISTANT
eu-LISA is
an European Agency for the operational management of large-scale IT systems in
the area of freedom, security and justice. The Agency provides the technical
and operational framework to ensure that European citizens and non-EU citizens
enjoy the freedom to live, work and travel in a manner they have come to know
and expect. The Agency is tasked with managing the three main IT systems dealing with
visas, asylum requests and the exchange of information to guarantee the
security of the Schengen Area. More information about

The role of the contact point for assistance in cooperation with JHA Agencies and JHA Agencies Network to provide administrative assistance related to the implementation of the bilateral relations with the Agencies and to drafting Working Arrangements and Annual Cooperation Plans with the increasing number of Agencies with whom eu-LISA is establishing relations.
The main tasks are:
- Assisting to
liaise and take care of various correspondence with EU Agencies and assisting
to liaise and take care of various correspondence with the JHA Agencies
Network;
- Assisting with
preparations for the Working Arrangements and related correspondence with respective
EU Agencies and assisting with preparations for the Annual Cooperation
Plans with respective EU Agencies;
- Reviewing,
coordinating and editing various documents of the JHA Agencies Network;
- Assisting in
the coordination of eu-LISA´s participation at the expert meetings of the JHA
Agencies Network, i.e. the training sub-group and the ICT sub-group;
- Drafting briefing
notes for the management of the Agency;
- Assisting the
organization of the eu-LISA Annual Conference and the Industry Roundtable;
- Supporting
the updating of Intranet (Sharepoint) as regards meetings and documents;
- Assisting
with information sharing for internal and external communication about the
events organized by the Agency;
- Preparing meeting
minutes and Power Point Presentations on requested subject matters;
- Providing
assistance related to monitoring of research and drafting statistical reports.
Requirements for the position:
- Completed university studies of at least 3 years attested by a diploma;
- Minimum 5 years of relevant professional experience from which minimum 3 year experience in at least one of the following area: administration, human resources, finance, communication, event management or facilitator;
- Very good knowledge of English, since it will be an everyday working language;
- Very good knowledge of the Microsoft Office tools; knowledge of Sharepoint would be an asset;
- Good analysis and drafting skills;
- Experience in organising large events and official meetings are considered beneficial;
- Experience in the Justice and Home Affairs field would be an asset.
Experience in public sector will be an advantage. It is important to understand communication principles and documentation in public sector as the role requires a lot of communication between EU Agencies.
